Administrative Assistant - San Luis Obispo, Ca

Padre Associates, LLC is an environmental consulting firm based out of Ventura, California with additional offices in Bakersfield, Sacramento, and San Luis Obispo.  Padre Associates, LLC currently has an opening in our San Luis Obispo office for an administrative assistant, approximately 30 hours per week.

Responsibilities

  • Assist project managers and team members with administrative tasks, including document preparation, report generation, data entry, and correspondence.
  • Perform cost tracking activities.
  • Manage fleet vehicle maintenance activities.
  • Maintain project files, records, and databases, ensuring accurate and efficient documentation of project activities.
  • Manage incoming and outgoing project correspondence, emails, and phone calls, directing inquiries to the appropriate personnel.
  • Assist in organizing project events, team building activities, and office functions to foster a positive work environment.
  • Collaborate with internal departments, contractors, and external partners to facilitate communication and information flow.

Required Qualifications

  • High school diploma or equivalent; additional certification in Office Administration or related field is a plus;
  • Proven experience as an Administrative Assistant, Office Administrator, Document Controls Specialist or similar role, preferably in a construction or engineering environment;
  • Be highly motivated and enthusiastic;
  • Have strong interpersonal and problem-solving skills; and
  • Interested in pursuing professional growth in a growing midsized consulting firm.

Key Skills and Abilities

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint), email management, and office software.
  • Strong organizational skills, attention to detail, and ability to multitask effectively in a fast-paced environment.
  • Excellent communication, interpersonal, and teamwork abilities.
  • Ability to maintain confidentiality, handle sensitive information, and prioritize tasks efficiently.

Compensation

Ranges from $25 to $35 per hour, depending on experience.
